The Senior Executive Assistant provides all-around administrative support to executive-level staff. As Office Manager, the incumbent oversees all tasks relative to the efficient running of the Headquarter office.
Responsabilidades clave
- As senior executive Assistant
- Monitor and follow up of all meetings and events related to Executives, Seniors VPS and the Nexus board.
- Manage and maintain executives’ meeting and call schedules for CEO and CFIO,
- Maintain close relationship with the board members keeping Legal department involved.
- Maintain close relation and bring an active support to the Group’s CEO personal assistant
- Cover all demands related to CFIO’s agenda (travel, meetings, events, etc.)
- Prepare and review expense reports of the CFIO
- Provide support to Executives communicating presentations (PPT…)
- Provide extensive travel arrangements and support to executives and Board members
- Support process with finance and HR for manual payments
- Monitor, screen, respond to and distribute incoming communications through general Nexus email address
As Office Manager
- Optimize office costs and expenditures and maintain office efficiently: organize office move, suppliers’ selection, inventory, filing
- Anticipate and manage all moves (in, out, re-allocation, etc.)
- Provide IT for newcomers (laptop, email, access etc.)
- Participate in the accounting optimization process (weekly and monthly)
Requisitos
- Long lasting experience as CEO assistant
- Bachelor’s degree
- Experience and knowledge in accounting
- Excellent spoken and written communication in French and English, German is a plus
- Outstanding personal and interpersonal communication skills
- Excellent command organizational and anticipation skills
- Excellent command of the Windows suite and PPT in particular
- Demonstrated analytical and critical thinking skills
- Proactive, autonomous, dynamic, resilient, multi-tasking capabilities
- Well-versed, committed, strong teamwork acumen
- Corporate experience and Automotive Industry experience should be a plus
